Electronic Signing Made Easy

I was at a customer’s office the other day helping to set up their new Mac system. It was a busy construction company and they needed help getting wireless scanning operational. I noticed that they were using Adobe Reader for their PDF files, so I introduced them to Preview. Once I set the Finder to open PDF files with Preview instead of Reader, I showed them how to access the scanner to scan documents right from Preview.

As I had them practice this, I noticed that much of their scanning needs were for documents that they would print out, sign, scan and then email to clients. When I showed them how to use the “signature” function in Preview they immediately saw the value and time saved. So, I know many of you already know how to use this tool, but I thought I would go over it so you too can use your electronic signature.

Preview is used to view and edit PDFs and images, import images from a camera, import documents and images from a scanner, add pages to a PDF and also to take screen shots. When you have a PDF that needs your signature, the old way of doing this would be to print out the PDF, sign it, scan it and send it back. With Preview you can skip some of that work. You can capture your signature using your trackpad or better yet, using your camera on your Mac.


To create your signature you can simply click on the Sign button on the Markup Toolbar, select Manage Signatures to create a new signature. Or you can go to Tools > Annotate > Signature > Manage Signatures. When you select Create Signature you have a choice of trackpad or camera. While signing on your trackpad is okay, I prefer the camera method. Here you take a white piece of paper and sign it. Then click on Camera as the means of capturing your signature and hold up that piece of paper to the camera on your Mac. Once you align the signature on the blue line you can hit Done and your signature is stored. If you don’t like the first try, click Clear and do over.

To add your signature to a PDF document click on the Sign button or use the path Tools > Annotate > Signature to select the signature. Once it has been placed on the document you can drag it to where you want it, then use the handles to adjust its size. Save the document and you can include it in an email with your signature. Remember that the Save As command is sort of hidden now but to get to it simply hold down the Option key when you select File.

You can then set up specific alerts for when motion has been detected.

    The alerts might be for when your kids get home from school, if someone breaks into your apartment, or maybe you have elderly parents who you’d like to make sure are up and moving that day. Throw a waterproof case on the phone and you can set it up outside and get video clips to see what kind of animal is eating your freshly sprouted blueberries.

    People Power will soon have a subscription, allowing you to upgrade to Presence Pro for more storage and added features. Even if you don’t feel the need to monitor any activity going on, it might be fun just to play around with the app since it is free, and who knows, you may just find a cool use for it!

  • Cut Across Shorty, Cut Across

    Keyboard shortcuts are handy ways of using simple keyboard commands to handle tasks that might require multiple clicks of your mouse or trackpad. Sometimes using these shortcuts can save time and make your work flow easier. As an example, from time to time I grab screen shots to include in Kibbles or to send to customers. I can launch the Grab app to capture these screen shots but I can also hit ⇧⌘3 (shift/command/3) to capture the screen. Easier yet, if I frequently use that key combination I can customize the keys I use or make one of my function keys do the screen grab. Here’s how you would do that:

    # Choose System Preferences -> Keyboard->Shortcuts
    # You will see a bunch of shortcuts that are already there
    # Select Screen Shots
    # Pick the one you want – i.e. Save Picture of screen as a file and select it
    # Click on the existing key combination until it is highlighted
    # Enter your new key combination

    You will get a warning triangle if you choose a key combination (or function key) that is already in use.

    You can also add key combination shortcuts that are specific to an App. Selecting the App Shortcuts will take you there. Unless you have already set up some shortcuts, you will see only the key combination for “Show Help Menu” for all applications. To add a new shortcut to your favorite application you hit the + sign and a dialog box will pop up to allow you to select an app. From there you can set up the new shortcut:

    # Choose your App – or select all Apps if you want to set the key combination for the same menu command that appears in many Apps.
    # Type in the menu command for which you want to create a shortcut. VERY IMPORTANT – You must type the command exactly as it appears in the Application menu, including ellipses and any other punctuation. To type an ellipse, use three periods without spaces.
    # Click in the Keyboard Shortcut box and type the key combination or function key you wish to use and click “Add”.
    # Quit and restart any Apps that are open for the new keyboard command to take effect.

    If you assign a shortcut that already exists for another command or another App, your new shortcut will not work and you will have to find the menu command that is using that shortcut and change it.

  • Fody Personal Weather Station: A Review

    When I saw that we had started to carry the Fody Tempus Pro Bluetooth weather station, I was immediately interested. At my apartment, I had a really old, pretty cheap, wireless thermometer I was using to help me figure out how to dress myself for the conditions outside. You know, t-shirt, sweater, jacket, full Antarctica-grade parka…it is Vermont after all. The problem I always had with it was that the remote sensor couldn’t get wet, and there just weren’t many places I could put it. Last year I got a slightly better thermometer base station that used a wired thermocouple that could easily be passed out a closed window. The thermocouple is sealed and can get as wet as you want. That worked a lot better, but the base station features weren’t as good. I didn’t like the way it recorded min/max temperature.

    So when I saw the Tempus Pro, I thought it might be able to solve all of my problems. In addition to indoor/outdoor temperature and indoor humidity, it also records outdoor humidity, rainfall, barometric pressure, windspeed and wind direction. Instead of all that data going to a limited base station, it goes to my iPad, where I can quickly see trends, share it with friends on Twitter or Facebook or just email myself the raw data.

    I had a few concerns such as whether or not the radiation shield on the outdoor temperature sensor would work. You have to install the Tempus Pro in an open location so that wind and rain can be recorded, but this most likely means it’ll be in the sun too, which would completely mess up the temperature reading. The radiation shield actually does an amazing job at preventing that. I haven’t seen any excessively high temperatures recorded even when the station was baking in the sun.

    Setup was very easy for a device that’s actually doing a lot of complicated things. The outdoor station transmits its data to the indoor base station that is plugged into the wall for power. This transmission is probably very basic radio since the range is quite a bit more than is possible with Bluetooth and the outdoor station only uses three included AA batteries. The indoor station uses low-energy Bluetooth to relay indoor and outdoor sensor data with your iOS or Android device.

    Once everything is paired and running (which is easy to do if you follow the order indicated by the instructions), you will see real-time data being displayed on your iOS or Android device via the Fody app. It also builds graphs of historical data so you can watch trends. One of the things I liked most about the app was the alerts feature. I can set high/low alert thresholds for any of the sensors. I set up an alert for when the outdoor temperature falls below freezing. A few times this past week, I was sitting on my couch and heard my iPad chime. It was an alert letting me know it had fallen below freezing outside. Very cool! You could also set other useful alerts for things like excessive rain, or high winds.

    Overall I think the Tempus Pro is a pretty neat device and the simple use and setup belies the actual complexity of having your own personal weather station. If you’ve ever been curious about setting up a personal weather station at home, or just want something a bit more than temperature readings like I did, you won’t be disappointed with the Fody Tempus Pro.

  • Keep Your Passwords!

    You have a password for the online banking, one for your Apple ID, one to log into your retirement amount. Your password for your bank has to have have at least one numeric number, but can’t start with a number and it can’t have any more than two of the same characters found in your username. Your retirement account must include at least 3 numbers and one special character but they can’t be consecutive.

    Does this sound familiar? In the perfect world we would only need one password, but unfortunately for security purposes and as hackers get better at what they do password strength has become critical and part of our everyday lives. The hassle with this is that most sites have their own sets of rules for password strength leaving many of us to peck away at our keyboards or devices in a sometimes endless game of “remember how you manipulated your favorite password 16 different ways and can’t remember if your banking site used the password with the capitalization or the one with the ampersand”.

    For a very long time I will admit my method of keeping track of my usernames and passwords was the stickies program on my Mac, much to the dismay of our IT manager! While stickies are easily accessed they are not secure and I do not recommend this method. Where you should keep them is in your keychain. You can access your keychain through applications and then utilities. Once you are in your keychain you can manually add preferred sites, accounts and passwords you wish to store. Another huge benefit is secure notes. Secure notes allow you store additional confidential information. Keychain is safe and secure because in order to view any of the passwords stored there you need to enter your administrator password. Within keychain you can make sure to safely and securely keep your passwords, and when you forget if you needed that capitalization or ampersand in your password you can simply open keychain and enter into the search field the website for which you need to confirm the password.

    Now what if you don’t have a mac? The loss of passwords, and most often your Apple ID password is a huge concern with users of iOS devices only. Luckily there is an easy solution for that, iCloud and iCloud keychain. Simply go to settings, iCloud and then select keychain. Your iOS device will begin to store your logins and websites. Additionally you can add specific websites and passwords manually to your phone or iPad under safari and then selecting passwords. This is also where you would look if you can’t remember login information.

    Recording safely your logins and passwords is an often overlooked step, especially when users of iOS devices accidentally have the device damaged or lost. Saving your passwords safely and using iCloud keychain can avert your being logged out of accounts.
